Document Imaging and Archival System

The System provides an indexed, searchable database of scanned images of all physical paper documents and correspondence. It allows a user to store images of these documents on a centrally located computer system, and to make them easily accessible to users on a web page, via a role based password protected security layer. Document folders can then be viewed by approved users who see thumbnail images of all documents either in the client folder, or answering specific search criteria.

Each document is barcoded with a customisable index number that is automatically picked up in the scanning process, and automatically labelled by the database through an import program, to ensure searchability by various user defined criteria.

Clients are able to save on physical storage space as physical documents can be now archived off site at a professional document storage facility. All images are kept in an Oracle database, running on a fail safe, low cost, Linux server with hot back-up functionality.

For the first time, users are able to refer to copies of documents that may have been held in a different town or even different country, and to find those documents in seconds.
